SPARC Space Reservation Process

SPARC has several spaces that are reservable for group meetings and special events (see space descriptions below). Please note that preference will be given to our student organizations and campus partners. 

PennCard access is available for all students and staff during our open hours – typically 10am-9pm M-F during the academic year.  Hours may vary during exams and breaks.

Please plan ahead and request spaces at least 72 hours before your event.  Note that your reservation is not final until you receive written confirmation from SPARC staff.  We will do our best to respond within two business days.

To request space at SPARC for your event please email Patty Burchette (pburch@upenn.edu) with the following information:

  1. Event Title
  2. Brief Event Description (include – any special needs for access, A/V, and any plans for food at the event)
  3. Event Contact Info – Name, Penn email, and cell phone number
  4. Number of people expected
  5. Room(s) requested (see descriptions below)

For large events or for access to other University spaces we recommend contacting University Life Space and Events Management as you begin planning your event.


SPARC Space Use Guidelines

Please review our Space User Agreement for guidelines and expectations regarding space use:

  • Space Sharing – SPARC is a shared space and a welcoming environment for the entire Penn community. Please be mindful of how your event impacts others using the building.
  • Cleanup – You are responsible for returning the room to its original state, including any movable furniture or supplies used.
  • Trash – Make sure that any trash is cleared from the space and notify staff of any trash containing food.
  • End on Time – You must end your event at the time of your reservation and at least 15 minutes before SPARC closes for the day.  
  • Cancellation Policy – if you cancel or modify your event, please notify SPARC staff as soon as possible, preferably within 48 hours.
  • Damages – Your organization is responsible for any damage incurred during the event.
  • Report Problems – If you encounter any problems with SPARC facilities please report these to staff on site as soon as possible.
  • Your organization must comply with all applicable Center and University policies, procedures, rules and regulations including, but not limited to, the University policies regarding Non-Discrimination, Classroom Guidelines, Use of Facilities, Open Expression Guidelines, and Code of Student Conduct.
  • If these guidelines are violated, SPARC staff reserve the right not to accept future requests for room reservations.

SPARC Living Room

Located on the main floor, this flexible space can be used for small group meetings or larger receptions, dinners, and speaker events. The room is typically setup with comfortable couches at one end and cafe tables at the other.  Furniture can be added or remove to allow for groups of up to 50 people

Garden Meeting Room

Located on our lower level, cozy meeting space for small groups of up to 15 people

SPARC Reflection Room

Located on the 3rd floor the Reflection Room is used daily as a drop in prayer and meditation space and can also be reserved for groups of up to 15 people for prayer, study, or meditation.
